Understand schedule management

Audience: Operations managers

Simulate, view, and manually edit resource allocation models before they are finalized. Optimize workforce efficiency and ensure that all service activities are covered effectively. 

Access and search scheduling models

To begin, navigate to Features > Scheduling Optimization > Automatic Scheduling > Scheduling Management.

Search schedules

To filter and view the information of existing simulations like description and status:

  1. In the Schedules tab, select an operations center (OC).

  2. If needed, modify these fields that populate with data once you enter an OC:

    • Evaluation interval: Enter the from and to dates for the assessment.

    • Scheduling templates filter: Choose rule templates.

    • Calculate summary data: To view advanced performance metrics like saturation and travel distance, check this box.

  3. Click Search/Update.

Compare simulation metrics

To compare different scheduling strategies through detailed metrics like resource saturation and travel distance:

  1. In your search, check the box of Calculate summary data

  2. Click Search/Update

  3. In the Processing list table, compare simulation data points like:

Metric

Description

% internal res. utilization

Ratio of time used to work and travel versus availability.

% net util. internal res.

Ratio of activity performance time versus availability.

Tot. internal res. scheduled work

Sum of total work scheduled.

Tot. displacement time

Total hours spent by in-house resources traveling between activities.

Tot. internal resources availability

Net hours resources are available (lunch breaks and unavailabilities are excluded).

Distance traveled

Total kilometers traveled by in-house resources.

Overdue activities

Activities scheduled past their target time slot.

No. resources in overtime

Total count of resources in overtime.

Tot. time in overtime

The total hours of overtime effort.

Tot. unassigned date locked activities

Activities the model couldn’t assign.

Process new manual simulations

To see how changes in parameters affect the schedule in a model simulation:

  1. In the Processing list table, right-click the simulation row you want to run.

  2. Select Process new simulation.

  3. In the new Simulation parameters page, enter the processing interval:

    • From.

    • To.

  4. Click Execute model.

  5. Optional: If a schedule already exists, click Continue to overwrite it.

  6. To monitor status, check the Running processes table.

  7. Wait until the status is “Completed”.

  8. To return to the main management screen, click Close

  9. To refresh with new data, click Search/update.

View detailed logs

To access logs of how the simulation went:

  1. In the Processing list table, right-click the simulation row you want to run.

  2. Select Process new simulation.

  3. In the Running processes table, right-click a row.

  4. Click either:

    • Scheduling log: View specific system logs for that processing run.

  • Scheduling totals: View a table of totals calculated for each model stage and day.

Visualize schedules

To move from data metrics to a visual map or timeline:

  1. In the Processing list table, right-click a simulation.

  2. Click:

    • Daily plan: For a 24-hour view.

    • Weekly plan: For a 7-day view.

Manage the automatic processing calendar

Set up recurring automation for model processing.

One-time automatic scheduling

To plan a specific, non-recurring simulation for a future date and time:

  1. On the main page, in the Processing list, right-click a simulation.

  2. Select Schedule automatic processing.

  3. In the Plan processing tab, enter the:

    • Processing date: When the simulation should be processed:

      • Day.

      • Time.

    • Period to process: The specific dates the model should simulate:

      • From.

      • To.

  4. Click Plan.

Plan recurring simulations

To schedule simulations to run multiple times:

  1. On the Scheduling management page, in the Processing list, right-click a simulation.

  2. Select Automatic processing calendar.

  3. On the Plan processing tab, enter:

    • Implementation period: The date range when the automation is active:

      • From.

      • To.

    • Processing time: When the simulation will start in hours and minutes.

    • Exclude holidays: Select this checkbox to not process the simulation on non-working days.

  4. Enter:

    • Days to process from.

    • Days to process to.

  5. Click Plan.

Cancel scheduled processing

To stop a scheduled simulation:

  1. On the Scheduling of automatic processing page, click the Cancel scheduled processing tab.

  2. In the Implementation period section, enter the time period of the simulation:

    • From.

    • To.

  3. Click Cancel.
