Create a virtual weekly plan

Audience: Operations center planner technicians

To ensure resource availability and activity assignments align with service demands during the week, use simulations that transition into schedules. Optimize workforce allocation, resolve scheduling conflicts, and monitor real-time resource saturation.

Access the virtual weekly plan

To schedule or review resource allocations:

  1. Navigate to Features > Scheduling Optimization > Automatic Scheduling > Scheduling Management.

  2. In the Schedules tab, enter your operations center.

  3. Optional: Enter other parameters.

  4. Click Search/Update.

  5. In the Processing list table, right-click a specific daily plan you want to simulate.

  6. Select Weekly plan.

Filter resources

To define which resources or teams appear in your weekly view.

  1. In the right Filter panel, select a date to start the week.

  2. Optional: Add other parameters like:

    • Available templates.

    • Work center.

    • Enterprise.

  3. Optional: Add information in these sections:

    • Resources.

    • Teams.

    • Scheduling and accounting.

  4. Click Search.

Understand the weekly plan

Once the data loads, the table displays resource metrics and visual status bars.

Check resource metrics

Under a resource’s name, check their:

  • Availability: The total hours the resource is available for the week.

  • Planned: The total hours assigned and the saturation percentage.

  • Clocking: The hours the resource has clocked in this week. 

Understand the status bar

Each day has two types of bars to indicate availability and saturation:

Bar Type

Color

Meaning

Availability Bar

Green

Available: A resource is available for a work shift.

 

Blue

On-call: The resource has on-call availability.

 

Beige

Lunch break: The resource has a lunch break at this time.

 

Gray

Unavailable: The resource is unavailable.

Scheduled Bar

Yellow

Active: A resource is engaged and their schedule has some saturation.

 

Red

Over-saturation: Engagement exceeds 100%

 

Green

Free time: No activities are scheduled.

Note: To view the full legend, at the top of the screen, click the Key button.

Manage daily activities

Finalize the schedule and perform actions on a per-resource, per-day basis.

View daily activity details

To find specific details about daily activities:

  1. In the weekly plan, find a specific day.

  2. Click the Planning details icon.

  3. View:

    • Work shifts.

    • Net saturation (which excludes travel).

    • Gross saturation (which includes travel).

Validate daily activities

To confirm daily activity scheduling:

  1. In the weekly plan, find a specific day.

  2. Click the Validate checkbox.

Notes: 

  • To indicate the shift finalized, the icon changes to a green checkmark.

  • If the box is gray, no activities can be validated.

See a daily activity’s team

To see which coworkers are assigned to a shared activity, click the Team icon.

Configure view options and system behavior

Customize how data is displayed and how drag-and-drop actions work.

Change visualization settings

To change what you see in the visual weekly plan:

  1. In the Weekly plan tab, click the Three dots menu.

  2. Click the Visualization button to toggle the visibility of shifts, on-call time, or team leader themes, and other features.

Define actions

To select your preferred behavior for how activities are moved:

  1. In the Weekly plan tab, click the Three dots menu.

  2. Click the Actions button.

  3. Set:

    • The Activity drop field.

    • The Default overtime management field to either:

      • No overtime.

      • Unique shift.

Save as template

To create a readily usable profile for the future: 

  1. In the Weekly plan tab, click the Three dots menu.

  2. Click the Template button.

  3. Enter a Description for your current settings.

  4. Click Save.

Use bulk actions

Manage the plan as a whole.

Sort the weekly plan

To reorder the weekly plan:

  1. On the Weekly plan tab, click the Sorting button.

  2. To change the list order, select a criteria:

    • Surname.

    • Organization.

    • Work center.

In the top-right, use the Previous week button or Next week button arrows to work on other weekly plans.
