Create a Virtual Weekly Plan

The Virtual Weekly Plan is a centralized scheduling interface that provides a comprehensive view of resource availability and activity assignments over a seven-day period. This tool enables Operations Center Planner Technicians to optimize workforce allocation, resolve scheduling conflicts, and monitor real-time resource saturation. By streamlining the transition from simulation to execution, it ensures that operational capacity aligns perfectly with service demands.

Access the Virtual Weekly Plan

To begin scheduling or reviewing resource allocations, you must first navigate to the correct module within the system.

  1. Navigate to the Scheduling Management window.

  2. Locate the Processing List table.

  3. Right-click on a specific simulation entry.

  4. Select Virtual Weekly Plan from the context menu to open the monitoring interface.

Search and Filtering Resources

Use the right-hand search panel to define which resources or teams appear in your weekly view.

  1. Set the Scope: Select the relevant Operations Center, Work Center, and Company from the dropdown menus.

  2. Define the Timeline: Enter or select a Date to establish the start of the seven-day viewing window.

  3. Refine Resource Criteria:

    • Select specific Resources or Skills.

    • Use toggles for Resources on shift, External resources, or Resources On Call to narrow the list.

  4. Refine Team Criteria: Select a specific Team or Team Type if you are planning by group rather than individual.

  5. Apply Filters: Click the Search button to populate the table with scheduling data.

Interpret the Resource Table and Visual Bars

Once the data is loaded, the table displays resource metrics and visual status bars.

Resource Metrics

  • Availability: View the total hours the resource is available for the week.

  • Scheduled: View the total hours assigned and the resulting saturation percentage.

Each day features two primary visual indicators. Click the KEY button to view the full legend.

Manage Daily Activities and Validation

You can perform granular actions on a per-resource, per-day basis to finalize the schedule.

  1. View Details: Click the Planning Details icon (Icon 3) on any specific day to view work shifts, net saturation (excluding travel), and gross saturation (including travel).

  2. Validate the Schedule:

    • Locate the Validate button (Checkbox) for a specific day.

    • Click the box to confirm the scheduling. The icon will change to a green checkmark, signaling the shift is finalized.

    • Note: If the box is gray, no activities are present to validate.

  3. Check Team Composition: Click the Team icon (Icon 3) to see which co-workers are assigned to a shared activity.

Configure View Options and System Behavior

The Options button at the top of the window allows you to customize how data is displayed and how "Drag-and-Drop" actions behave.

  1. Visualization Settings: Click the Visualization button to toggle the visibility of Shifts, On-Call time, or Team Leader themes.

  2. Define Actions: Under the Actions tab, select your preferred behavior for moving activities:

    • Set Drop Activity to "Suggest paste menu" or "Automatic Paste."

    • Set Default Overtime Management to either "No overtime" or "Single Shift."

  3. Save as Template:

    • Navigate to the Template tab.

    • Enter a Description for your current settings.

    • Click Save to create a profile you can quickly apply in the future.

Global and Bulk Actions

Use the top-row utility buttons to manage the plan as a whole.

  • Sorting: Click the Sorting button to organize the list by Surname, Organization, or Work Center.

  • Daily Bulk Actions: Click the Daily Actions button to:

    • Confirm Day: Crystallize all validated schedules for a specific date, making them available for mobile download.

    • Cancel Day: Remove all scheduled activities for the day (only available for activities not yet started).

  • Navigation: Use the Arrow icons in the top-right to jump to the previous or following week.

Integrated Sub-Menus

For advanced analysis, use the Operations sub-menu to jump to related modules:

  • Saturation Dashboard: Navigate to Monitoring > Saturation Dashboard for high-level analytics.

  • Work Teams Monitor: Navigate to Scheduling Settings > Teams Monitor to manage group structures.

  • Work Calendars: Navigate to Resources Management > Work Calendars to update master shift matrices.
