Manually schedule activities

On the daily plan, add unassigned activities to a resource’s timeline to ensure high-value tasks are matched with the most qualified technicians. Handle complex field variables or urgent priority shifts that automated algorithms might overlook.

Search for schedulable activities

To assign work, first locate the pending activities within the system's database: 

  1. Navigate to Features > Core > Daily and Multi-day Plan > Daily Plan.

  2. Select either the Schedulable activities tab or the Urgent activities tab.

Prioritize activities

To organize the activity list and help identify the most efficient assignment sequence:

  1. Click either:

    • The Schedulable activities tab.

    • The Urgent activities tab.

  2. To sort activities, click the column headers you want to sort by.

  3. Click each activity you intend to assign to the resource. 

    • A counter indicates the sequence activities are in their timeline.

  4. Verify that highlighted activities match the technician's shift requirements.

Copy activities to the clipboard

To move activities you want to assign, either:

  • Copy to clipboard: To move the activities to the clipboard staging area.

  • Copy and select: To move the activity to the clipboard and paste it immediately.

Paste activities to the resource’s timeline

To finalize the assignment, paste the activities to the resource’s timeline from one of these interfaces:

  • The Clipboard tab.

  • The Schedulable activities tab.

  • The Urgent activities tab.

  • The map view.

Paste by a single resource

To place activities exactly where you click on the timeline:

  1. Navigate to one of the tabs or the map view.

  2. Select one or more activities.

  3. In the Daily plan tab, right-click the scheduling bar of the desired resource.

    • If you click to the left of an existing activity, it inserts before the activity.

    • If you click to the right, it inserts after the activity.

  4. Click Paste.

Paste by team

To paste activities requiring two or more resources.

  1. Navigate to one of the tabs or the map view.

  2. Select one or more activities.

  3. In the Daily plan tab, right-click the scheduling bar of the team leader.

  4. Click Paste by team.

  5. In the Paste preview team activity window, select resources to join the team.

  6. To see a preview of the combined team's timeline, click Continue.

  7. To see travel impacts, click Recalculate.

  8. Click Confirm.

Paste with preview

To check the assignment’s impact on travel time:

  1. Navigate to one of the tabs or the map view.

  2. Select one or more activities.

  3. In the Daily plan tab, right-click the scheduling bar of a resource.

  4. Click Paste with preview.

  5. In the Paste preview window, view the calculated arrival and displacement time.

    • Optional: To type in a custom activity duration or displacement time, enable the manual editing flag.

  6. To see the graphic update, click Recalculate.

  7. Click Confirm.

Paste with appointment

To schedule customer-facing tasks that require a strict time window:

  1. Navigate to one of the tabs or the map view.

  2. Select one or more activities.

  3. In the Daily Plan tab, right-click the scheduling bar of a resource.

  4. Click Paste with appointment.

  5. In the red-bordered section of the Paste preview window, enter the appointment date, start time, and end time.

  6. Click Confirm

    • The activity will now display a Customer appointment icon.

Note: If the technician arrives late, the system highlights the activity in red.

Paste in multi-day activities

If you paste an activity that extends beyond the shift end, choose one option:

  • Plan entirely in work shift: Force the activity into the current day, possibly including overtime.

  • Split over following working day: To account for travel back to the base at night, divide the task across two shifts.

  • Schedule only remaining portion: Only assign the portion of work that fits into the current shift and don’t add overtime.
