Assign skills and qualifications

Audience: Dispatchers

Add areas of expertise and licenses for a resource, so they are qualified to perform work orders (WO).

Prerequisites

Before you start:

Follow the UI path

All following instructions start from this system path:

  1. Navigate to Features > Core > Resource Management > Resources.

  2. At the bottom of the Scheduling resources page, click the Skill, qualifications and roles button.

  3. On the Skills tab, select an operations center.

  4. Click Search.

  5. In the Skill, qualifications and roles page, go to the Resources - Skill list.

Assign skills to resources

Important: Only the technician’s manager can add or remove skills from technicians.

 To make a technician available for a certain type of work, add relevant skills:

  1. In the Resources - Skill list, click the Three dots menu for a resource.

  2. Click Assign skill/qualification.

  3. In the Resources - Skill list, click the Three dots menu for a resource

  4. On the Skill assignment tab, drag a skill from the Available skills section to the Assigned skills section.

    • Available skills: All active skills that aren’t associated with the technicians, sorted by description.

    • Assigned skills: All the skills currently assigned to technicians sorted by level and by description, if they are in the same level.

    • Note: If you add a multiple skill, only the parent skill associated with the resource is displayed, not the child skills.

  5. Click the Close page icon.

Notes: 

  • Based on the company’s skill master data, technicians may have one or more skills. 

  • If you add a new primary skill, all associated secondary skills are added as well. See Manage multiple skills.

Assign skill priority level

When you schedule the activity, specify the priority level of each skill to suggest which of the technicians is preferable to use. To assign a skill priority level:

  1. In the Resources - Skill list, click the Three dots menu for a resource.

  2. Click Assign skill/qualification.

  3. On the Skill assignment tab,in the Assigned skills section, click the Increase level or Decrease level icons.

    • The higher the level value, the lower the priority of the skill assignment.

      • Level 1 skills are primary skills.

      • Level 5 skills are the lowest priority skills.

Remove skills from resources

To remove a skill:

  1. In the Resources - Skill list, click the Three dots menu for a resource.

  2. Select Assign Skill/Qualification.

  3. On the Skill assignment tab, drag a skill from the Assigned skills section to the Available skills section.

  4. Click the Close page icon.

Assign qualifications

Add qualifications if a certificate or license is necessary to perform a skill. For example, to maneuver a crane, a resource needs a valid driving license and a special vehicle driver certificate.

Associate qualifications with resources

To assign a qualification to a worker:

  1. In the Resources - Skill list, click the Three dots menu for a resource.

  2. Click the Qualification assignment tab.

  3. On the right of the Qualifications table, click the New qualification icon.

  4. In the Associate user authorization window, enter:

    • Qualification.

    • Start date.

    • Optional: End date.

  5. Click Save.

Assign a qualification to a skill

To ensure workers have qualifications needed to use their skills:

  1. In the Resources - Skill list, click the Three dots menu for a resource.

  2. Click the Qualification assignment tab.

  3. At the bottom of the Qualification table, click the Skill types button.

  4. In the Filters panel on the right, enter desired search parameters.

  5. Click Search.

  6. In the Skill types list, next to the desired skill, click the Three dots menu.

  7. Click Change association skill qualification.

  8. Drag a skill from the Available column to the Associate column.

  9. Click Save.
