Create and edit absence reasons

To understand a resource’s availability, track and manage deviations from a resource’s standard work shift.

Understanding time impact logic

Absence reasons affect the technician's workload and availability:

Impact type

Effect on the daily plan

Typical use case

Time reduction

Subtracts time from the available work shift.

Sick leave, vacation, or medical appointments.

Time extension

Adds available work time outside the standard shift.

Overtime or extra project hours.

Reduction of assignable capacity

The shift duration remains the same, but the system blocks work order (WO) assignments.

Vehicle maintenance or administrative tasks.

No variation

The reason is recorded for tracking but does not change availability.

Find current absence reasons

To discover why a resource was absent:

  1. Navigate to Configuration > Core > Resource Management > Resources Work Calendar > Absence Reason.

  2. In the Main search filter, search by the following categories:

    • Code: The code of the reason to search.

    • Description: The description of the reason to search.

    • Receipt class: The class identifier of the reason to search.

    • Management type: The time range or day of the absence.

    • Visible: Search by active resources, inactive, or both.

  3. Click Search

Add new absence reason

To explain why a resource was absent:

  1. In the Absence reason table, click New.

  2. In the Absence reason window, enter:

    • Code: The mandatory identification code.

    • Description: The mandatory description.

    • Avail./Unavail. validation class: The type of absence reason:

      • Absence

      • Substitution

      • Presence

      • On Duty Availability

    • External code: The identification code in the external system.

    • Management type: The management type selector, such as:

      • Quantity.

      • Day.

      • Time Range.

    • Time impact type: How time was impacted by the absence, such as:

      • Time reduction.

      • Time extension.

      • No variation.

      • Reduction of assignable capacity

    • Notes: Notes about the reason for the absence.

    • Minimum value: A minimum value used in a work shift, not logic.

    • Maximum value: A maximum value used in a work shift, not logic.

    • Repeatable in shift: Whether the absence reason can be used many times in a work shift.

      • Note: This is a mandatory field.

    • Order: A number that determines the list order.

    • Visible on DP: Whether the reason must be shown in the daily plan.

    • Loan: Whether the reason was on the source resource’s calendar when a resource was loaned.

      • Note: This mandatory option is used for backwards compatibility.

    • Visible: Whether the reason for absence is visible and available for use.

    • Editable: Whether you can edit the absence reason on the resource’s work calendar.

  3. Click Insert.

Edit absence reason

To change the absence reason:

  1. In the absence reason table, find the absence reason you want to edit.

  2. Click the Three dots menu.

  3. Click Modify.

  4. In the Absence reason window, edit the information.

  5. Click Save.

Associate colors with absence reasons

Select a color to associate with an absence reason in the work calendar:

  1. In the absence reason table, click the Three dots menu next to the absence reason.

  2. Click Associate Color.

  3. In the Colors window, click a color.
