Configure and enter clockings

Use clockings to validate specific periods of time when technicians can clock in or out, like shift start or shift end.

Prerequisites

Before you start:

Enable clockings

Audience: Technicians

If you want to enable clocking management:

  1. In the user menu, access the Clocking functionality.

  2. In the resource master data (geocall server component), select one:

    • No clocking: Operations and assignments aren’t affected by resources clocking in and out.

    • Clocking enabled: No mobile operations is allowed if the resource didn't clock in and out.

    • Clocking: No intervention assignment is allowed if the resource didn't clock in and out.

Configure clocking types

  1. Navigate to: Main menu > Configuration > Core > Resource management > Clocking types

  2. Click the row corresponding to a clocking type.

  3. In the pop-up window, enter:

    • Code.

    • Description: Customize the name of action type.

    • Clocking action type: Action type related with the clocking.

    • Clocking validation type: Clocking declarations can be made from the server and from mobile.

      • Mobile requires validation (automatic or manual).

      • By default the validation mode is automatic, so the clocking from mobile is recorded by the server, configuring the manual mode will require the server-side operator to validate data.

    • Force intervention removal: When enabled, technicians are given a block message when they try to close an activity “in load” at the end of shift.

    • Mandatory synchro for next action: Requires synchronization before the next clocking action.

    • Visible.

    • Enable GPS: Select if you want the device to try to acquire coordinates from the mobile device.

    • Counter action: Define actions you can reach from the current clocking action type.

  4. To define a new Clocking type, you must enter:

    • Code.

    • Description.

    • Clocking action type.

    • Clocking validation type.

  5. To confirm a new WO type, click Save.

  6. To exit the window, click Cancel.

Enter clocking information

To enter information about when you clock in and out:

  1. Access the Clocking information section.

  2. In the window for entering the clocking, select the corresponding shift.

  3.  Click the Add button.

  4. In the window, enter:

    • Date: The current date and time.

    • Shift: The shift related to the clocking.

      • Note: Usually, the current day, the previous day, and the following day are displayed.

    • Shift type:

      • Start shift

      • Start unavailability

      • End unavailability

      • End shift

      • Note: At first, the only available option is the shift start, due to the lack of dedicated archive.

  5. If needed while you are on shift, click on the dedicated pull-down menu to enter another clocking

    • Note: This clocking uses archive data to fill in some information.

  6. Select:

    • Start shift

    • Start unavailability

      • Note: Start unavailability is only available if the user is not in charge of any activities.

    • Start lunch break

      • If start lunch break is selected, the “end lunch break” may be registered later.

  7. Register the end unavailability.

    • Note: End Shift clocking is only allowed if the user is not in charge of any activities to debrief.

    • Note: If the user’s daily plan still reports scheduled activities (not taken charge of, though), the mobile system independently deletes such activities from the plan in order for them to be assigned to a different resource.

Note: The same functionalities are applied when the clocking is not entered by a specific resource but by the team leader. Such clocking will be valid for all team members referring to the shift considered. The same window will report the list of members.

Select a calendar shift with clocking

The shift start statement shows when resources are available to be scheduled for the shift reported in the calendar. A resource can be scheduled on the same day when the user clocking management is equal to "Clocking and No interventions assignment if not on shift".

For shift start clocking, the system proposes shifts starting and ending yesterday, today, or tomorrow for each team resource.

  • The system automatically provides a shift based on the soonest availability.

  • The user may edit/select the corresponding starting shift for each resource.

  • Each resource’s calendar shift is set based on the previous clocking and the user can't edit it.

Validate with clockings

The clocking validations can be made either on mobile or on the server:

  • On mobile: By default, mobile clocking and validation is automatic and recorded by the server

  • On server: If configuring the manual modality, the server operator validates the data.

Note: The shift start can provide a form beside the statement for the field resource to debrief.
