Understand work order statuses

The work order (WO) changes status as it progresses from creation to closure. A WO’s status is often a result of the combined statuses of its individual operations.

To determine if newly created WOs are ready for the field.

Validate WOs

To make a WO’s status schedulable and visible in the daily plan for dispatch:

  1. Navigate to Features > Core > Work Order Management > Search WO.

  2. On the right, in the Filters panel, find the Status section.

  3. In the WO status dropdown, select Open

  4. Click Search.

  5. Click the WO code.

  6. At the bottom of the Detail page, Click the WO Operations button.

  7. Next to a specific operation, click Validate

Validate WOs on schedules

To schedule and validate a WO on the daily plan, so technicians can perform them:

  1. Navigate to Features > Core > Daily and Multi-day Plan > Daily Plan.

  2. In the right panel, click the Schedulable activities icon.

  3. In the list, find the activity.

  4. Click and drag the activity onto the resource’s Gantt chart row at a specific time. 

    • The activity appears on the chart, and its status upgrades to Scheduled.

  5.  Validate the schedule.

To fix the status and queue the task for a mobile sync, either:

  1. On the left side of the Gantt chart, right-click the resource’s name.

  2. Click Validate Resource Day.

Or:

  1. In the top toolbar of the daily plan, click the Operations button.

  2. Click Validate All Resources.

Track mobile execution in real-time

On their mobile devices, field technicians’ operation statuses automatically update to:

  1. Submitted: The task successfully synchronized and is in the technician's mobile inbox.

  2. In charge: The technician opened and accepted the task on their device.

  3. Running: The technician clicked Start Intervention or reported their arrival.

Note: Dispatchers use these statuses to identify currently active field work.

Finalize and account for work

To determine if a task is complete or requires a follow-up visit:

  1. Determine the outcome:

    • Final outcome (Closed): The complete operation is marked as closed.

    • Partial outcome (To reschedule): The work wasn’t completed, so the operation returns to a “To Reschedule” or “Schedulable” state.

  2. Monitor administrative closure:

    • Partially accounted: Used when a WO has multiple operations and only some are finished, or if materials or resource reporting is still pending.

    • Technically closed: The WO is done and was processed successfully.

    • CLOSED: This is the final status of the WO's lifecycle

Understand exception statuses

If work is interrupted, planners can manually move operations into exception states, such as:

  • Blocked: A temporary pause to wait for a permit, specialized equipment, etc.

  • Canceled: A manual request or a trigger from an external ERP/CRM system to stop the operation.
