Upload from xlsx file - Resource Forecast

The Resource Forecast feature allows you to simulate available capacity by configuring various types of work shifts.

You can create forecasts based on either:

  • Actual resources and calendars already defined in the system.

  • Simulated resources and calendars for hypothetical scenarios.

A significant advantage of using resource forecasts is their complete independence from actual resource and calendar data. This means any adjustments or edits made within the forecast simulation will not impact the live operational data in your system.

A resource forecast can be created from an Excel (.xlsx) file, allowing you to import an externally generated calendar and continue working with it on the platform to build coverage scenarios. The result will be a calendar ready-to-use, and it helps the user to reduce some manual operations.

Upload a Resource Forecast

  1. In the FSM App, navigate to FEATURES → FORECASTING & CAPACITY PLANNING → RESOURCE FORECAST

  2. Click “Upload from file” button on the top-right of the page

  3. Click “Resource forecast import” button on the bottom of the page

  4. Upload the file and click “Process”

  5. Click the check button of a Resource Forecast and go on “Export in xlsx” option

  6. Define the new file name and confirm

  7. The import process is asynchronous, and its progress can be monitored on the Import page, where you can see how many records have been successfully processed or failed.

    1. In case of error, the system upload only success records. To see details about the log, you can click on the option button of the used file and select “View log Details”. A new view will show more details about found errors.

The sample structure of xlsx file is as follows (sample file attached in the page):

The xlsx file contains:

  • Resource Forecast Header: general information about forecast

    • Operation center

    • Code: forecast’s code

    • Description: forecast’s description

    • Start Date: start date of forecast’s period

    • End Date: end date of forecast’s period

  • Forecast Resources

    • Code: Forecast Resource's code

    • Name: Forecast Resource's Name

    • Surname: Forecast Resource's Surname

  • Work-shift: it contains data about resources' work-shifts

    • Code: Forecast Resource's code

    • Start date: start date of work-shift

    • End date: end date of work-shift

    • Work duration: work-shift’s duration

    • Max overtime: work-shift’s overtime

  • Not Committable Time: it contains data about unusable and unavailability time

    • Code: Forecast Resource's code

    • Start date: start date of work-shift

    • End date: end date of work-shift

    • Unavailability time: expressed in minutes

    • Unusable time: expressed in minutes

  • Grouping Constraint Sheet: information about Grouping constraints → the sheet is mandatory but can be empty

    • Forecast Resource's code

    • Grouping constraint’s Code: Grouping constraint’s code defined in the system

      • if Grouping constraint not present, the system does not insert the Grouping constraint

  • Skills Sheet: information about resources' skills → the sheet is mandatory but can be empty

    • Forecast Resource's code

    • Skill’s Code: Skill’s code defined in the system

      • if skill not present, the system does not insert the skill
