Trigger inventory update on final PR states

Ensure that stock levels remain accurate and related transfer requests (TRs) are properly managed when a procurement request (PR) concludes its lifecycle. Have full traceability, prevent duplicate entries, and fully automate the replenishment of both central and mobile warehouses.

Understand inventory update statuses

Managed asynchronously via a dedicated technical field on the PR, the inventory update status can be:

  • On hold: This status requires a manual action to trigger the inventory update.

  • In Progress: This status active allows the system to perform the stock movements and TR updates when the PR reaches a final status.

  • Done: The state confirming that all warehouse levels and documents have been successfully updated.

    • When a PR reaches a final delivery state (like “Partially delivered”), the system automatically triggers a highly structured, asynchronous inventory update process.

Understand the processing modes

Important: To prevent partial updates, if processing fails at any point, the status remains “In Progress” or a recoverable error state, and a retry mechanism is supported.

The type of PR determines which distinct workflow the system dynamically executes:

  • The PR independent workflow is used when:

    • There is no TR.

    • Materials are destined solely to replenish the central warehouse.

  • The PR linked workflow is used when:

    • The PR link workflow is associated with a TR.

    • Materials go through an intermediate central warehouse then the mobile warehouse.

Understand the PR independent workflow

  1. To ensure atomic operations, the system acquires a critical section lock.

  2. Once the delivered status is “In Progress”, the target central warehouse is identified.

  3. The load/increase movements are performed in the central warehouse (one per PR line item, strictly into Free Stock).

    • If applicable, the serial numbers are recorded.

    • Movement history is recorded.

    • Overall stock levels are permanently updated.

  4. The workflow is complete:

    • The PR delivered status is “Done”

    • The critical section lock is released.

Understand the PR linked workflow

  1. To ensure atomic operations, the system acquires a lock.

  • This prevents other movements in the involved warehouses.

  1. Once the delivered status is “In Progress”, these are identified:

    • Central warehouse

    • The associated TR

    • The target mobile warehouse

  2. The load/increase movements are performed in the central warehouse.

    • One per PR line item, strictly into “Free Stock”.

    • If applicable, the serial numbers are recorded.

    • If the same material exists across multiple PR lines, the quantities are summed, and the serial sets are merged.

  3. The TR's "sent" quantities are populated with delivered amounts and serial numbers.

  4. The TR Send operation is triggered, which creates a corresponding decrease/discharge movement in the central warehouse.

  5. The workflow is complete:

    • The PR delivered status is “Done”

    • The critical section lock is released.

Note: To prevent fragmented stock entries, the serial codes and total quantity of materials with the exact same ID are aggregated and merged into a unified stock entry.
